Last updated: 4 October 2026. This notice explains how The Quiet Journal uses personal information at thequietjournal.co.uk, including the online planner membership.

Who to contact

The Quiet Journal, Drake Court, 1 Laglang Street, Poole, BH15 1RP, United Kingdom. Email contact@thequietjournal.co.uk for privacy questions, an entry export or an erasure request. Please do not send your password, card details or the contents of your journal in an ordinary email.

Information we use

Account and purchase information includes your name, email address, login details, billing address, order and subscription records, payment status and payment references. We also receive messages you send through our contact channels. Technical information can include IP addresses, browser information, access logs and login-failure records used to operate and protect the website.

Planner information is the text, lists and optional trackers you choose to save. This may include feelings, meals, habits and health or wellbeing information. All entry fields are optional. Journal consent records include your consent choice, notice version and the date it was recorded.

Why we use it

We use account, order and billing information to provide and administer the service you purchase, handle support and manage recurring payments. We retain records required for accounting, disputes and legal obligations. We use proportionate technical and security records for our legitimate interest in protecting and operating the website.

We process your journal entries with your consent to provide private storage and retrieval. Where an entry contains health or other special category information, we rely on your separate explicit consent for that purpose. This is separate from cookie and marketing choices. You can withdraw journal consent from Journal privacy & consent in the planner. This closes the planner and prevents further access or saving through the app. The withdrawal form asks you to confirm permanent deletion of your entries from active storage. Request an export before withdrawing. Consent withdrawal does not cancel billing: cancel your membership in My account if you want to stop future charges.

Payments, hosting and access

Stripe processes card payments and recurring payment instructions. Full card numbers and security codes are not stored by our planner. IONOS hosts the WordPress website and its backups. Service providers process the information needed to perform their services, subject to their own applicable privacy terms and safeguards.

Journal entries are encrypted in database storage and access is restricted to the signed-in account with a valid membership and journal consent. The application decrypts entries when serving your authorised requests. Authorised site administrators and hosting support may be able to process information to operate, recover or support the service. Encryption is not a promise that no administrator could ever access an entry. Do not put other people’s sensitive information into your journal.

Cookies and optional services

Essential cookies support login, security, the basket and checkout. Optional cookies are controlled through the cookie banner. You can reopen Manage consent to change your choices. See Cookie information & settings for more information. Payment services may apply their own essential technical requirements when you use checkout.

Retention

Account, support and transaction information is kept for the period needed to provide the service and meet relevant legal, accounting and dispute obligations. Cancelling membership closes planner access but does not itself erase saved entries. You can request an export or deletion of your entries at any time. After your membership becomes inactive, saved entries are deleted after a 90-day retention period, on the next daily cleanup. An active membership resumed before expiry resets the inactivity period. You can request earlier deletion, or withdraw journal consent using the confirmed deletion form. Automatic cleanup depends on the site’s background scheduler; contact us if you need immediate assistance.

Backups may retain a previous copy for their normal retention cycle. If we restore a backup, erasure requests must be reapplied before restored personal data is returned to normal use.

Your rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction, portability or object to processing. You can withdraw consent without affecting the lawfulness of processing before withdrawal. We may need proportionate verification before releasing or deleting private information. Contact us using the email above. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/.

International processing and updates

Some providers may process information outside the UK. Their applicable privacy notices describe their processing locations and safeguards. We will update this notice when our service or processing changes and ask for fresh journal consent when a change requires it.
